Create a message template and get it approved
Templates are the pre-approved messages WhatsApp requires for campaigns and for replying after 24 hours. Here's how to write one that passes Meta's review first time.
WhatsApp only lets businesses start a conversation — or reply after 24 hours — with a template that Meta has approved. You'll need at least one before you can send a campaign.
The three categories
| Category | Use it for | Examples |
|---|---|---|
| Marketing | Promotions and anything that sells | Offers, festive sales, new arrivals, reminders to come back |
| Utility | Updates about something the customer already did | Order confirmed, booking reminder, payment received |
| Authentication | One-time passcodes | Login or payment OTP |
Create the template
- Go to Templates and click + New Template (or open 📚 Template library to start from one Meta has already written).
- Set up template — choose the category and the type (for most businesses: Default). Click Next.
- Edit template:
- Name — lowercase letters, numbers and underscores, e.g.
diwali_offer_2026. Adwix tidies it into this format for you. - Language — the language the message is written in.
- Media / Header (optional) — an image, video or document makes marketing messages stand out.
- Body — your message. Use the B / I / S buttons for formatting.
- Variables — click Add variable to insert
{{1}},{{2}}… for things that change per customer, like a name. Fill in a sample value for each — Meta's reviewers read these. - Footer (optional) — a short line such as "Reply STOP to unsubscribe".
- Buttons (optional) — quick replies, Visit website, Call phone number, Call on WhatsApp or Copy offer code. Up to ten.
- Name — lowercase letters, numbers and underscores, e.g.
- Check the live preview on the right, then Submit for Review.
After you submit
The status shows Pending while Meta reviews it — usually minutes, sometimes up to a day. When it says Approved, you can use it in campaigns and in the inbox.
Why templates get rejected — and how to avoid it
- A variable at the very start or end of the body. Put words around it: "Hi {{1}}, your order is ready." rather than "{{1}}".
- Missing or vague sample values. Use realistic samples ("Priya", "#A1043"), not "test".
- Wrong category (see above).
- Asking for sensitive data such as card numbers or passwords.
- Misleading or aggressive copy — all-caps shouting, fake urgency, or claims you can't back up.
Next step
While Meta reviews it, import your contacts.
